Privacy policy

Aeelm is committed to protecting students' privacy and Personal Data and processes such data in accordance with the applicable laws of the Kingdom of Saudi Arabia, including the Personal Data Protection Law and its Implementing Regulations. This Policy explains what data we collect, how we use, protect, share and retain it, and the rights relating to it.

By creating an account or using Aeelm, you acknowledge that you have reviewed this Policy. If the student is a minor, the Platform must be used with the consent of a parent or legal guardian.

1. About the Platform

Aeelm is an online educational platform that connects students with teachers and enables students to search for a suitable teacher, view teacher profiles, book lessons or educational services, communicate and manage bookings.

2. Registration and Account Data

When a student account is created, we collect:

  • A profile image, if the student chooses to add one, in WEBP, JPEG, JPG or PNG format.
  • Name.
  • International country calling code.
  • Phone number.
  • Email address.
  • Gender, male or female, if the student chooses to provide it.
  • Password and password confirmation. Passwords are stored in encrypted or hashed form and cannot be viewed as plain text.
  • Preferred language: Arabic or English.

The registration form does not request a date of birth, city or educational level unless such data is later added to another service and the student is informed of the purpose of collection.

3. Usage and Educational Service Data

Depending on the features used, we may process data relating to teachers viewed or selected, lessons or services booked, lesson times, booking status, messages and enquiries, ratings, complaints, support requests and educational files voluntarily uploaded by the student.

4. Payment Data

If paid services are available, we may process the transaction amount, payment method, reference number, payment or refund status and related invoices. Card data is processed by approved payment service providers. Aeelm does not store the full card number or its security code.

5. Device and Usage Data

We may automatically collect technical data required to operate and secure the Platform, such as IP address, device type, operating system, browser type, app version, language, login logs, pages and features used, crash, performance and security logs, and cookies.

6. How We Collect Data

We receive data directly from the student during registration, account updates, service use or communications with us. We may also receive limited data from payment or technical service providers where necessary to provide the service.

7. Purposes of Processing

  • Create, manage and verify the student's account.
  • Enable sign-in and protect the account.
  • Display teachers and educational services and process bookings.
  • Facilitate communication between the student and teacher.
  • Send verification codes, lesson reminders and booking updates.
  • Process payments, refunds and invoices when paid services are available.
  • Provide support and handle complaints and disputes.
  • Improve Platform performance and user experience and resolve technical issues.
  • Detect fraud and prevent unauthorized access and misuse.
  • Send marketing communications after obtaining any required consent, with an option to unsubscribe.
  • Meet legal, regulatory and accounting obligations.

8. Legal Basis for Processing

We process data based on the consent of the student or legal guardian, performance of a service or agreement with the student, compliance with a legal obligation, our legitimate interests where these do not override the student's rights, or the protection of rights and vital interests as permitted by applicable law.

9. App Permissions

The app may request camera or photo and file access only when the student chooses to capture or upload a profile image, and notification permission to send account, booking and lesson updates. Permissions are used only for the stated functions and can be withdrawn through device settings.

10. Sharing Personal Data

Aeelm does not sell students' Personal Data. We may share the minimum data necessary with the selected teacher to provide the service; payment, hosting, storage, messaging, notification, analytics and security service providers; or governmental, judicial and regulatory authorities in response to a valid legal request. Service providers must process data only for the defined purposes and apply appropriate safeguards.

11. Data Visible to Teachers

When an educational service is booked, the teacher may see the student's name, profile image if provided, booking details, and messages or files sent by the student. Students must not share passwords, payment card data or sensitive documents through messages.

12. Cookies

The website may use cookies to maintain sign-in, remember language and preferences, operate essential features, measure performance, improve user experience and identify unusual activity. Browser settings can be used to control cookies, although disabling some cookies may affect Platform functionality.

13. Minors' Privacy

If the student is a minor, the account must be created and the Platform used with the consent or supervision of a parent or legal guardian. The parent or guardian may exercise the student's statutory data rights. If we learn that a minor's data was collected without appropriate consent or another lawful basis, we will take steps to delete the data or restrict its processing.

14. Retention and Destruction

We retain data while the account remains active and afterward for as long as necessary to complete bookings, payments and refunds, retain accounting records, handle complaints, prevent fraud, comply with legal requirements and protect legal rights. Once the purpose ends, data is securely deleted, destroyed or anonymized unless a longer retention period is legally required. Backup copies may remain for a limited period until automatically deleted under the backup cycle.

15. Account and Data Deletion

A student or legal guardian may request account deletion through the in-app deletion option where available, the account deletion page, or by emailing info@aeelm.com. We may verify the requester's identity. Upon deletion, unnecessary account data will be removed. Records required for payments, invoices, complaints, fraud prevention or legal obligations may be retained temporarily, then deleted or anonymized when the retention reason ends.

16. Student Rights

Subject to applicable law, the student or legal guardian may have the right to be informed of the purpose and legal basis for processing, access Personal Data, request a copy, correct, complete or update it, request its destruction where legally permitted, withdraw consent where consent is the basis for processing, and submit a complaint to the competent authority. Certain rights may be subject to statutory exceptions.

17. Data Security

We use appropriate technical and organizational safeguards, including encrypted communications and passwords, access controls, security monitoring, backups and system updates. No electronic method is completely secure, so students must keep login credentials confidential and notify us of suspected unauthorized account use.

18. International Data Transfers

Data may be processed or stored by service providers inside or outside Saudi Arabia. Where data is transferred outside the Kingdom, we apply the safeguards and procedures required under applicable law.

19. Third-Party Links

The Platform may contain links to third-party services. Data submitted directly to those parties is governed by their own privacy policies.

20. Policy Updates

We may update this Policy when our services, processing practices or legal requirements change. The updated version and date will be published, and we may provide notice of material changes.
